We differentiate between the following use cases:
Directed Business E-Mail:
Here you send or reply to a business related e-mail to one or more internal ClearSpace people. This is a person with an e-mail address that ends with @clearspace.today.
For mails to be accepted in this category they need to be pertaining to a business dealing of ClearSpace and set in a professional and courteous tone. Care should be taken
that no harmful content is transmitted into ClearSpace, e.g. Phishing or Virus actions. E-Mails willfully ignoring this will be treated as with criminal intent. We reserve the
right to follow-up with all technical and legal means to induce criminal charges where possible. We actively follow-up with remote e-mail providers to flag abuse and criminal
conduct.
Direct Encrypted Business E-Mail:
We provide S/MIME encryption where needed / wanted to complete the above category. The content of the e-mail must be plain text-only. Written URL’s are allowed, as long
as they are not intentionally harmful and only PDF files can be attached. Due to the nature of S/MIME encryption / signature the mails cannot be controlled automatically, hence
the limitations.
Unsolicited Business E-Mail:
These are cold-calling e-mails whereby the external partner sends an e-mail without prior contact towards ClearSpace, often guessing the e-mail address of the internal contact.
This is permitted as long as the message does not contain attachments other than PDF files or contains inline HTML images. Embedded e-mail tracking is not forbidden but our
e-mail filtering tools will remove most of them. The internal employee is entitled to request your address to be blacklisted if the contact becomes harassing due to it’s frequency.
Direct Personal E-Mail:
People can use e-mail to communicate privately with their colleagues, friends and family members as long as these e-mails do not contain harmful content. Some of our anti-spam
anti-phishing tools are automated, and some filtered e-mails might be reviewed manually. There is no implied right to protection of private information although CS IT and
CS Compliance will exercise due care. Please use private communication means (WhatsApp, Threema, etc) if you want to communicate 100% confidentially.
Blocked Domains:
We block by default certain domains to avoid rendering the life of scammers too easy. We do not publish this list. If you are sending an e-mail to ClearSpace from a very generic
domain name that is for 99% used by private e-mail services your mail might have been deleted by default. If you feel that this is the case you can send an e-mail to
info AT clearspace DOT today and you’ll receive instructions on how to remediate this.
